Setting up Outlook for a new email address

These instructions are for making an account for an address @riverland.net.au, or one in your own domain that's hosted on mail.riverland.net.au. If you've been given instructions for using mail.rivwe.com, our other server, use those instead.

These instructions are for an account that's authorised to send mail via mail.riverland.net.au. Not all @riverland.net.au addresses are. More information on this is here.

The current version of Microsoft Outlook (came out around 2016) has a problem setting up accounts where the login does not equal the email address - which is a quite normal setup, and is what we need for the mail.riverland.net.au server. Fortunately the old setup wizard is still in there, and these instructions work around the problem.

1. Click File.
2. Click Account settings. In the list that appears, click the last item, Manage Profiles

(Don't click the first item, even though it says Add Account: that doesn't work.)
3. Click Email Accounts…
4. You should now see the usual list with any existing email accounts. Click New..
5. Select Manual setup or additional server types, and Next
6. Select POP or IMAP, and Next
7. On the main Settings screen, enter your name and the new email address.

Account type is POP3

The mailserver is mail.riverland.net.au (both incoming and outgoing), and your username and password.

Note, on this server, put just username, not email address here.

Tick Remember Password, but not Secure Password Auth.

Finally, click More Settings..
8. in More Settings.. click the Outgoing Server tab. Tick “My outgoing server requires authentication” and “Use same settings as incoming”
9. Click the Advanced tab.

For Incoming server, tick “This server requires encrypted (SSL/TLS)” and be sure the port number is 995

For Outgoing server, for “Use the following type of connection”, select SSL/TLS and be sure the port number is 465

(recommended): tick “Leave a copy of messages on the server” and “Remove from server” after 14 days. You can leave them for longer, but usually this is enough.

Finally, still on the Advanced tab, click OK
10. Back on the main Settings screen, click Next, and Outlook will check the settings by logging in and sending.

Assuming that succeeds, the setup is complete: you can close the wizard and start reading mail :)

If not, read through the error message for clues about what to fix.
